Privacy Policy

1. What we collect

Account data: your name, email, hashed password (or Google/Salesforce sign-in identity), and workspace membership.

Data you bring: leads and contacts you import, campaign content, replies, meeting recordings and transcripts you create, documents and deals. This data belongs to you.

Operational data: audit events, approval decisions, deliverability metrics, and service logs — the record of what the platform did on your behalf.

2. How we use it

Only to operate the Service: sending your campaigns, provisioning the infrastructure you approve, classifying replies, transcribing recordings you own, and billing. We do not sell personal data, and we do not use your leads or content to train AI models.

3. Credentials and secrets

Mailbox credentials, registrar keys, CRM tokens and similar secrets are encrypted at rest (AES-256-GCM). Reveals of retained mailbox passwords require your authenticator and are written to the audit trail. Secrets are never returned by list APIs.

4. Processors we rely on

Hosting: Hetzner (EU/US data centers). Payments: Stripe — we never see full card numbers. Provisioning APIs: Microsoft (Graph) and Google (Workspace Admin) act on tenants you connect; domain registrars act on purchases you approve. CRM integrations (HubSpot, Pipedrive, Salesforce) receive only the outcome data the integration describes.

5. Recipients of your campaigns

If you receive email sent through the Service and want no further contact, use the unsubscribe link — suppression is enforced on every future send — or write to support@emailcampaign.ai and we will suppress your address across the sending workspace.

6. Retention and deletion

Your data stays while your workspace is active. Meeting recordings honor the retention window you configure. On account deletion we remove personal data within 30 days, except records we must keep for legal or billing reasons.

7. Your rights

Depending on your jurisdiction (GDPR, CCPA and equivalents) you may request access, correction, export or deletion of your personal data. Write to support@emailcampaign.ai and we will respond within the statutory window.
