The common thread is that none of them sound like marketing. A subject line is a promise about what the message is, and the most effective promise in cold outreach is that it will be short and about them.

What to avoid, and why

Anything imitating a reply or a transaction. A subject beginning Re: or Fwd: on a first message, or borrowing the look of an invoice or a delivery notice, is misrepresentation. It is the pattern spam filters weight most heavily, and under CAN-SPAM a deceptive subject line is a direct violation. It also stops working the instant the reader understands, which is roughly one second in.

Title Case Like A Headline. Nobody writes to a colleague in title case. It reads as a campaign because it is one.

Urgency without a basis. "Last chance", "24 hours left", "urgent" on a first contact with a stranger is transparently false, and stacked urgency language is one of the clearest content signals filters score.

Emojis, for B2B. They mark the message as marketing before it is opened.

Over-personalisation. A subject containing their name, their company and their job title reads as a mail merge showing its working.

Length, and where it gets cut

Mobile clients truncate around 35 to 40 characters, and a majority of B2B mail is first seen on a phone. A subject that finishes inside that window is read as written. One that runs to sixty characters is read as a fragment, and the fragment is usually the least interesting half.

Two to five words is the practical target. It is also self-correcting: it is hard to be salesy in three words.

The uncomfortable part

Subject line advice is abundant because it is easy to produce and easy to act on. Its actual leverage is small.

A subject line decides whether an email that reached the inbox gets opened. It has no influence on whether the email reached the inbox, which is decided by the sending domain’s history, whether authentication resolves, the bounce rate and the complaint rate. It also has little influence on whether an opened email gets a reply, which is decided by relevance.

So the ordering is: deliverability first, targeting second, the body third, the subject line fourth. Teams that A/B test subject lines while a duplicate SPF record quietly caps their placement are optimising the smallest available variable.

Testing them honestly

If you are going to test, test against reply rate rather than open rate. Replies require a human. Opens increasingly do not.

Run two genuinely different subject lines rather than six near-identical ones, give each enough volume to mean something, and keep everything else constant. A test across two hundred sends per variant tells you very little, and most subject line tests are run at that scale.
